Definition

An audit trail is a chronological record that shows who took an action, what changed, and when it happened. In multifamily operations, audit trails can apply to access events, maintenance records, accounting entries, staffing changes, or system configuration updates. A strong audit trail helps teams reconstruct the history of an event without relying on memory or informal notes.

Example

A resident disputes that a maintenance request was closed without work being completed. The operations manager reviews the audit trail and sees when the request was created, which technician was assigned, when the status changed, who marked it complete, and any notes added along the way.

Why It Matters?

Audit trails give operations leaders visibility and accountability across properties, teams, and vendors. They help investigate resident issues, troubleshoot process breakdowns, support compliance reviews, and reduce confusion when multiple people can edit the same record or access the same area.
