A chargeback is a resident-billed cost or disputed card payment that requires documentation, ledger accuracy, and compliance controls.

Definition

A chargeback is an amount billed back to a resident when the property paid for something that is the resident’s responsibility, such as damage beyond normal wear and tear, excess utilities, or certain services. In payment processing, the same term can also mean a resident disputes a card payment and asks their bank to reverse the charge. In both cases, the property needs clear documentation to support the charge.

Example

After move-out, the inspection finds a broken interior door that was not present at move-in and is beyond normal wear and tear. The property documents the damage, posts the repair cost to the resident ledger, and includes it in the final account balance.
