Failed Payment

A failed payment is a submitted rent or fee payment that is declined, returned, or reversed and still leaves a balance owed.

Definition

A failed payment is a rent or fee payment that was submitted but not completed or accepted. It may fail immediately, or it may appear to deposit first and then be reversed after the resident’s bank returns it, such as for insufficient funds, a closed or invalid account, or a disputed/unauthorized transaction. In property accounting, the resident still owes the unpaid amount unless it is resolved with a cleared replacement payment.

Example

A resident schedules a $1,000 ACH rent payment on the 1st. The money appears in the property account, but several days later the resident’s bank returns the transaction for non-sufficient funds (NSF), so the payment status changes to failed/NSF and the $1,000 is withdrawn back out of the property account.

Why It Matters?

Failed payments affect cash visibility, delinquency workflows, resident communication, and bank reconciliation. Operations leaders need teams to monitor returned payments quickly—especially early in the rent cycle—so balances, late fees, payment restrictions, and follow-up actions are handled consistently.
