An interface user is a service account that lets systems connect securely and access approved property, vendor, or transaction data.

Definition

An interface user is a dedicated service account used by one software system to connect with another, rather than a login for an individual employee. It is used for authentication and authorization, meaning it proves the connection is allowed and controls what data the integration can access. In multifamily operations, the account should have the right property, vendor, and transaction permissions for the workflow it supports.

Example

A multifamily AP team connects an invoice workflow to its property accounting system. The team creates an interface user with access to the properties and vendor records needed to send purchase orders and invoice records, then monitors the account credentials so deliveries do not fail because of expired or incorrect access.

Why It Matters?

Interface users affect whether integrations work reliably and securely. For operations leaders, properly managed interface users help prevent failed data transfers, reduce over-broad system access, and keep workflows such as invoices or purchase orders moving across the portfolio.
