Definition
Invoice coding is the process of assigning accounting details to a vendor invoice before it is approved, posted, and paid. In multifamily operations, that can include the property, legal entity, general ledger (GL) account, cost center, work order, service period, recovery category, and approval owner. Accurate coding helps ensure the invoice lands in the right part of the books and follows the right approval path.
Example
A plumbing invoice for a leak repair at one apartment community is coded to that property, the repairs and maintenance GL account, the related work order, the correct service period, and the regional manager responsible for approval.
Why It Matters?
Invoice coding affects more than accounts payable speed. Operations leaders rely on accurate coding for property-level financials, owner reporting, budget tracking, common area maintenance reconciliations, capital expense schedules, and audit support. When coding depends on manual judgment or informal property knowledge, errors can create rework, delayed approvals, and inaccurate reporting.
