Invoice header

An invoice header is the top-level invoice information used to identify, route, approve, and pay a vendor bill.

Definition

An invoice header is the top-level set of information that identifies an invoice as a single payable record. It typically includes basics such as the vendor, invoice number, invoice date, due date, total amount, and may also include property, entity, service period, remit-to, tax, credits, or payment-status information. It is different from invoice detail or line items, which break down the individual charges and cost allocations.

Example

A landscaping invoice for a 300-unit community might have an invoice header showing the vendor name, invoice number, invoice date, due date, property name, and total amount due. The invoice details would then show separate charges for mowing, irrigation repair, and seasonal planting.

Why It Matters?

For multifamily operations leaders, the invoice header is often the first checkpoint for routing, approval, payment timing, and portfolio-level visibility.
