A lease signature confirms acceptance of lease terms and helps multifamily teams track execution, compliance, and move-in readiness.

Definition

A lease signature is the resident’s or applicant’s signed acceptance of the lease agreement and required addenda. In multifamily operations, the signature must be checked for completeness, validated against the agreed terms, and stored with the executed lease package. It may be collected electronically, allowing residents to review and sign without direct staff assistance.

Example

After a renewal offer is selected, the resident signs the renewal lease online. The onsite team confirms all required signatures and addenda are complete, updates the PMS status to show the lease is signed, and triggers move-in or renewal follow-up tasks.

Why It Matters?

Lease signatures turn approved applications or renewal offers into enforceable lease records. Tracking signature status helps teams reduce delays, identify unsigned leases before deadlines, maintain clean audit records, and start downstream workflows such as billing, resident portal setup, and move-in preparation.
