Line item

A line item is an individual invoice, budget, or financial schedule entry used to track specific charges, expenses, or revenue.

Definition

A line item is an individual row or entry on an invoice, budget, operating statement, or financial schedule that records a specific charge, expense, revenue amount, or adjustment. Each line item should be coded and calculated correctly so subtotals, taxes, and overall totals reconcile. In multifamily operations, line items help teams review costs and income at a detailed level rather than only looking at the final total.

Example

On a maintenance invoice, separate line items might show plumbing labor: $350, replacement parts: $125, and sales tax: $38. The operations team reviews each line item to confirm the charge is valid, assigned to the right expense category, and included correctly in the invoice total.

Why It Matters?

Line items matter because they are the building blocks of accurate property financials. When line items are miscoded, missing, or taxed incorrectly, invoices can be delayed, operating expenses can be misstated, and leaders may lose visibility into what is actually driving property performance.
