Definition
A lost lead is a rental prospect who entered the leasing pipeline but did not move forward to a signed lease. In multifamily operations, lost leads are often tracked with details such as contact information, cancellation or loss reason, and available conversation history. Common loss reasons can include budget, timing, qualification, lack of the right unit type, unresponsiveness, or choosing another housing option.
Example
A prospect tours a two-bedroom apartment but later stops responding. The leasing team marks the prospect as a lost lead with the reason “unresponsive” and reviews the conversation history to see whether follow-up timing or unit availability may have affected the outcome.
Why It Matters?
Lost leads show where prospects are dropping out of the leasing funnel. Tracking them helps operations leaders identify follow-up gaps, understand common objections, improve conversion rates, and reduce the revenue impact of vacant units.
