Definition

A maintenance backlog is the total set of approved maintenance work that has not been completed yet. In multifamily operations, it can include open resident work orders, delayed preventive maintenance, overdue inspections, vendor follow-ups, and unit-turn tasks. Backlog grows when new work comes in faster than teams can prioritize, schedule, complete, and document it.

Example

A 300-unit community starts Monday with 42 open work orders, 6 overdue HVAC filter-change tasks, 3 vendor repairs waiting on follow-up, and 5 vacant units not yet make-ready. Together, those items represent the property’s maintenance backlog.
