Definition

Message automation rate is the percentage of text-based conversations or messages that automation handles without help from an onsite or live team member. In leasing operations, it is commonly viewed over a selected time period to show how much routine communication is being resolved without agent intervention. If a conversation is handed off to a person, it typically counts against the automation rate.

Example

If a community has 1,000 text-based leasing conversations in June and 820 are fully handled by automation without an agent stepping in, the message automation rate is 82%. The remaining 18% represents conversations that required a handoff or live-team intervention.

Why It Matters?

Message automation rate helps operations leaders understand how much prospect communication is being absorbed by automation versus routed to onsite teams. Tracking the trend can reveal whether teams need to update property knowledge, review handoff rules, or address recurring questions that automation cannot answer. Because handoff rate is the inverse of message automation rate, it also gives leaders a simple way to monitor live-team workload.
