Property access defines who can enter or manage specific spaces or properties, when access applies, and how permissions are changed.

Definition

Property access is the set of permissions and workflows that determines who can enter a building, unit, amenity, or other controlled space—and when. In multifamily operations, it can also refer to which properties a staff user can view or manage inside operational systems. Access should be granted, changed, and revoked as residents, employees, vendors, and assignments change.

Example

A maintenance supervisor is assigned to cover three communities for the week, so operations grants access to those properties and removes access to a fourth. When a resident moves out, the team also revokes that resident’s building and amenity access so old credentials no longer work.

Why It Matters?

Property access matters because it connects security, staffing, resident experience, vendor coordination, and auditability. Clear access rules reduce manual work such as chasing keys, handling lockouts, and resolving “who let them in?” incidents. For portfolio operators, consistent access management also improves visibility across multiple buildings and supports more centralized workflows.
