Resident follow-up

Resident follow-up is post-event communication that keeps residents informed after maintenance, leasing, or service interactions.

Definition

Resident follow-up is the process of contacting a resident after an operational event, such as a maintenance visit, service request, lease interaction, or renewal step. In multifamily operations, follow-up may be handled through staff reminders or automated workflow actions that send a message by SMS or email. The goal is to confirm next steps, provide status updates, or verify that the resident’s issue has been addressed.

Example

After a technician completes a mold-related work order, the closing workflow asks whether the resident should be contacted. If the answer is yes, the workflow sends a follow-up message letting the resident know the unit is being treated and records the technician’s responses on the completed work order.

Why It Matters?

Resident follow-up helps operations leaders reduce missed handoffs between maintenance, leasing, and onsite teams. It keeps communication tied to the work being performed, which can improve clarity for residents and make it easier for teams to manage open issues, next steps, and service quality.
