The reason should be specific enough for teams to act on and consistent enough to support fair, repeatable decisions.
Example
A prospect tries to schedule a tour for an apartment, but their stated move-in date is 90 days out while the property’s written standard is a move-in within 30 days. The leasing team records the unqualified reason as: “Move-in timeline does not meet property criteria.”
