Vendor detail line
A vendor detail line is an invoice charge or allocation row used to code costs by property, unit, work order, GL account, or service category.
Definition
A vendor detail line is an individual charge or allocation row within a vendor invoice record. It usually represents a specific cost that needs to be reviewed, coded, split, or assigned to the right property, unit, work order, service category, or account. It is different from the invoice header, which summarizes high-level information like vendor, invoice number, date, and total amount.
Example
A landscaping invoice covers three apartment communities. Instead of coding the full $4,500 invoice to one property, the AP team creates three vendor detail lines: $1,500 to Property A, $1,250 to Property B, and $1,750 to Property C, each with the correct service category and GL code.
Why It Matters?
Vendor detail lines help operations and accounting teams put costs in the right place before an invoice is approved or posted. For multifamily portfolios, this matters because one invoice may cover multiple properties, buildings, units, work orders, or cost treatments. Clear detail lines reduce manual follow-up, improve reporting accuracy, and support cleaner owner, property, and maintenance cost tracking.
