Definition

Data privacy is the practice of collecting, using, sharing, storing, and protecting personal information in ways that respect residents’ and applicants’ rights. In multifamily operations, this often includes handling personally identifiable information such as names, Social Security numbers, dates of birth, addresses, financial records, and screening data. Because privacy laws and security expectations continue to evolve, apartment firms need clear policies, legal review, and technology controls for how data is handled.

Example

A leasing team collects an applicant’s income documents, ID, and screening information during the rental application process. A data privacy practice would limit access to that information to authorized staff, use it only for approved screening and leasing purposes, retain it only as long as required, and securely dispose of it when no longer needed.
