A strong process defines who is responsible, what information must be captured, when to escalate, and how resolution is documented.

Example

A resident reports a major water leak after hours. The incident is logged with the time, location, resident details, photos, and witness information; the maintenance supervisor is notified immediately; mitigation steps are assigned; and follow-up notes are recorded until the leak is resolved and any damage is documented.
