Definition

A Notice to Vacate (NTV) is a formal written notice used to end a tenancy by a specified date. In multifamily operations, it most often means a resident has indicated they will not renew and intends to move out. The notice may capture details such as the move-out date, reason for leaving, forwarding address, and required signatures.

Example

A resident declines a renewal offer and submits a Notice to Vacate with a desired move-out date of July 24, a move-out reason, and no forwarding address yet. The onsite team marks the resident as on notice, follows up for missing information, and begins planning the move-out inspection and unit turn.

Why It Matters?

A Notice to Vacate is an operational trigger for renewal reporting, retention follow-up, vacancy forecasting, move-out scheduling, and unit-turn planning. When teams capture the notice date, move-out date, reason, and document status accurately, they can reduce surprises and coordinate leasing, maintenance, and resident communications more effectively.
