Waitlist

A waitlist tracks prospects or applicants for unavailable apartments so leasing teams can follow up when matching homes open.

Definition

A waitlist is a list of prospects or applicants who want an apartment that is not currently available. In multifamily leasing, waitlists may be organized by floor plan, application date, lottery, or other community criteria, and the next person is contacted when a matching unit opens. Being on a waitlist does not guarantee immediate housing, but it helps the team manage demand and follow up when availability changes.

Example

A prospect wants a two-bedroom apartment, but all two-bedroom homes are occupied. The leasing team adds the prospect to the two-bedroom waitlist, records their preferred move-in timing, and contacts them when a matching home becomes available.

Why It Matters?

Waitlists help operations leaders capture demand that would otherwise be lost when inventory is unavailable. They also support more consistent follow-up, clearer handoffs between automated and onsite teams, and better visibility into which floor plans have unmet demand.
