Invoice detail

Invoice detail is the line-level coding and cost information used to route, approve, record, and report multifamily vendor invoices.

Definition

Invoice detail is the line-level and coding information that explains what an invoice is for and how it should be recorded. It can include fields such as job, job category, job contract, segments, tax or VAT rate, transaction type, property, unit, work order, service category, GL code, quantity, unit price, and line total. Operations teams use invoice detail to connect a vendor bill to the right property, expense category, approval path, and accounting record.

Example

A plumbing invoice for three apartment units is split into separate invoice detail lines: one line for Unit 2A, one for Unit 3C, and one for Unit 4B. Each line includes the related work order, service category, GL code, tax amount, and line total so the cost can be coded and approved accurately.

Why it matters

Accurate invoice detail helps reduce coding errors, approval delays, payment disputes, and month-end cleanup. For multifamily operators, it also supports property-level cost tracking, owner reporting, tax handling, and clearer visibility into repair, maintenance, and capital spending.
