Auto-assignment

Auto-assignment routes work orders to technicians or vendors using rules or AI based on skills, workload, location, priority, and shifts.

Definition

Auto-assignment is the use of predefined rules or AI to route maintenance work to the right technician or vendor without a coordinator manually choosing every assignee. In multifamily operations, assignments can consider factors such as technician skills, workload, proximity, priority, shift status, and building-specific coverage. Supervisors can still review, adjust, or override assignments when needed.

Example

A resident submits an urgent plumbing work order at Building B. Auto-assignment checks which on-shift technicians cover that building, have the right plumbing skill, and have capacity, then places the work order on the selected technician’s daily task list.

Why it matters

Auto-assignment helps operations leaders reduce dispatch bottlenecks, especially across large or centralized portfolios. It can improve response times, balance technician workloads, and make scheduling more consistent while preserving supervisor oversight.
