Awarding a quote

Awarding a quote means selecting and confirming a provider after reviewing submitted quotes for multifamily property work.

Definition

Awarding a quote is the step where a property team selects a service provider from the quotes received for a request and confirms that selection. In multifamily operations, this usually happens after reviewing price, scope, ratings or qualifications, and any compliance status. Once awarded, the selected provider is notified and may need to complete compliance requirements before work begins.

Example

A regional maintenance manager requests quotes for parking lot resurfacing at a 220-unit apartment community. After comparing submitted pricing, scope details, timing, and compliance status, the manager awards the quote to the provider that best meets the property’s needs and confirms the decision so the project can move forward.

Why it matters

Awarding a quote turns a sourcing process into an actionable project. For operations leaders, a clear award step helps standardize vendor selection, document decisions, reduce delays, and ensure compliance issues are identified before work starts.
