Definition

A central team is a group of offsite or shared staff that handles specific operational work for multiple communities instead of having each property do the same work independently. In multifamily operations, central teams may support functions such as leasing follow-up, renewals, collections, application processing, reporting, or administrative tasks. The team’s size and structure should reflect the portfolio size, the activities moved offsite, and the level of onsite support still required.

Example

A portfolio creates a central renewals team that generates renewal offers and sends reminders across 20 communities, while onsite teams handle in-person resident conversations and negotiations when needed.

Why it matters

Central teams help operations leaders reduce duplicated work across properties and create more consistent processes. They also require clear responsibility mapping, staffing ratios, escalation paths, and cost allocation so communities know what support they receive and how the model is funded.
