Charge dispute

A charge dispute is when a resident questions a fee, payment, credit, or balance on their account and the team reviews the ledger.

Definition

A charge dispute is when a resident questions a posted balance, fee, credit, payment, or move-out charge on their account. In multifamily operations, the team reviews the resident ledger, confirms payments and credits, checks whether charges are correctly coded and compliant, and updates records with the outcome. If the issue requires approval, it should be routed to the right accounting or ownership authority before any balance is changed.

Example

A resident moves out and disputes a $175 cleaning charge. The operations team reviews the move-out inspection, checks the resident ledger for all payments, fees, and credits, confirms whether the charge is allowed, and documents the decision before sending an updated balance.

Why it matters

Charge disputes affect resident trust, delinquency workflows, move-out balances, and the accuracy of financial records. A consistent process helps teams resolve questions faster, avoid unauthorized adjustments, and ensure ledgers reflect the correct balance before collections, refunds, or further action.
