Chatbot

A chatbot answers routine leasing and resident questions, supports self-service, and routes complex multifamily issues to staff.

Definition

A chatbot is a software assistant that simulates conversation to answer questions or handle defined tasks. In multifamily operations, chatbots are commonly used for routine leasing and resident interactions, such as answering amenity questions, explaining pet policies, collecting lead information, scheduling tours, and routing requests to staff when human follow-up is needed. Some chatbots follow scripts or rules, while more advanced versions can understand intent and work across channels like SMS, email, chat, or voice.

Example

A prospect texts, “Do you allow dogs, and can I tour this Saturday?” The chatbot checks the community’s pet-policy information, answers the policy question, offers available tour times, and creates a handoff task if the prospect asks for an exception or needs help from a leasing agent.

Why it matters

Chatbots matter because they help property teams respond quickly to common questions without requiring every interaction to start with a staff member. For operations leaders, this can reduce repetitive workload, keep answers more consistent, support after-hours self-service, and ensure more complex or sensitive issues are routed to the right team with conversation history attached.
