Early takeover rate

Early takeover rate measures how often agents step into leasing conversations before automation reaches a normal handoff or milestone.

Definition

Early takeover rate is the percentage of conversations where a leasing agent steps in before the automated assistant has reached a normal handoff point, tour booking, application, or lease-signing milestone. It is measured within a selected reporting period and excludes certain takeovers tied to tour attendance timing. A lower rate generally means teams are letting automation handle routine prospect communication before intervening.

Example

A portfolio has 1,000 leasing conversations in June. If agents take over 40 of them before any handoff, tour booking, application, or lease signing is recorded, the early takeover rate is 4%.

Why it matters

Early takeover rate helps operations leaders see whether onsite teams are stepping in too soon or allowing automation to handle the majority of routine leasing messages. Tracking it supports clearer coaching, better scorecards, and more consistent use of centralized or automated leasing workflows.
