Electronic lease documentation

Electronic lease documentation is the use of digital tools to prepare, review, sign, store, and retrieve lease agreements and related addenda. In multifamily operations, it lets applicants or residents review and sign lease documents on their own time, while staff verify completeness, countersign, archive the executed package, and update the system of record.

A leasing team sends an approved applicant a digital lease package with required addenda. The applicant signs electronically, the team verifies that all signatures and initials are complete, countersigns the lease, uploads the executed package and e-sign certificate to the document system, and marks the lease as executed so move-in tasks can begin.

Electronic lease documentation can reduce manual handoffs in the leasing process and make it easier to maintain clean audit records. It also requires strong controls, because incomplete, invalid, or fraudulent signatures can create enforceability and compliance risk.
