Electronic lease signature

Electronic lease signatures let residents and staff sign leases digitally while supporting tracking, validation, archiving, and move-in workflows.

Definition

An electronic lease signature is a digital way for an applicant, resident, owner, or authorized property representative to review and sign a lease without printing or signing paper documents. In multifamily operations, it supports a digitally managed leasing process by letting residents sign at their own pace while staff track completion, countersign, and store the executed lease package. Teams still need controls such as identity checks, signature validation, and complete archiving because invalid or fraudulent signatures can create enforceability risk.

Example

After an applicant is approved, the leasing team verifies identity, sends the lease and required addenda for electronic signature with a 24–48 hour expiration, tracks whether all residents and guarantors have signed, countersigns the lease, then archives the final lease and e-sign certificate in the document management system.

Why it matters

Electronic lease signatures reduce manual handoffs in the leasing lifecycle and help move an application from approved to executed more efficiently.
