Fixed Asset

Learn what a fixed asset is in multifamily operations and why tracking major property items supports maintenance and replacement planning.

Definition

A fixed asset is a long-term, physical property item needed to operate a multifamily community, such as land, buildings, HVAC systems, appliances, roofs, or equipment. Unlike routine supplies or one-time repairs, fixed assets are tracked over their useful life for depreciation, maintenance, warranties, and replacement planning. Capital improvements may be made to extend a fixed asset’s useful life or improve how it performs.

Example

Example: A regional maintenance leader keeps a list of every rooftop HVAC unit across several communities, including install date, warranty information, service history, and expected replacement year. That record helps the team schedule preventive maintenance and plan future capital spending before failures disrupt residents.

Why it matters

Fixed assets often represent major property costs and resident-impacting systems. Clear tracking helps operations leaders plan replacements, separate routine repairs from capital work, support accounting needs, and reduce unexpected equipment failures that can hurt budgets and service quality.
