Guest Card

A guest card records prospect details, preferences, follow-up needs, and lead source so leasing teams can manage and track inquiries.

Definition

A guest card is the record created for a prospective resident when they first inquire about, visit, or request information for a multifamily property. It typically captures contact information, unit preferences, inquiry details, timing, follow-up needs, and lead source. Leasing teams use guest cards to manage prospect communication from first contact through tour, application, or close-out.

Example

A prospect submits a website inquiry for a two-bedroom apartment with a target move-in date next month. The leasing team creates a guest card with the prospect’s name, phone number, email, preferred unit type, budget, lead source, scheduled tour time, and next follow-up task.

Why it matters

Guest cards help operations leaders ensure every inquiry becomes a trackable leasing opportunity. Complete and consistent guest cards support timely follow-up, cleaner handoffs between team members, more accurate marketing attribution, and better visibility into leasing performance across properties.
