Inventory Management

Inventory management tracks parts, supplies, and assets so multifamily teams can control costs, reduce downtime, and complete work faster.

Definition

Inventory management is the process of tracking and controlling maintenance parts, supplies, appliances, tools, and other physical assets across one or more multifamily properties. It helps teams know what is on hand, where it is stored, when to reorder, and how inventory is being used. Common methods include labeled bins, minimum and maximum stock levels, and reorder points tied to actual usage.

Example

A regional maintenance leader sets minimum and maximum stock levels for common items like faucet cartridges, air filters, GFCI outlets, and appliance parts. When a property’s stock falls to the minimum level, the team reorders enough to return to the target maximum so technicians have parts available for service requests and unit turns.

Why it matters

Good inventory management reduces wasted spending, emergency purchases, and technician downtime caused by missing parts. For operations leaders, it also supports faster work order completion, smoother turns, better procurement decisions, and more consistent service across properties.
