Lease generation and execution

Lease generation and execution is the process of preparing, signing, validating, storing, and updating lease records for move-in.

Definition

Lease generation and execution is the process of creating the lease package, collecting required signatures or initials, confirming terms, and completing the owner or manager countersignature. In multifamily operations, it also includes storing the executed lease and signature record, then updating the property management system so move-in, billing, and resident setup can proceed.

Example

A leasing team approves an applicant, generates a lease with the correct rent, dates, concessions, and addenda, sends it for signature, countersigns it after completion, archives the executed package, and marks the application as an executed lease before starting the move-in checklist.

Why it matters

Lease generation and execution affects legal enforceability, audit readiness, and the handoff from leasing to operations. A consistent process helps teams reduce missing documents, mismatched terms, delayed move-ins, and manual re-entry across systems.
