Definition

Post-tour prospect engagement is the follow-up process that happens after a prospective renter tours an apartment community. It includes thanking the prospect, asking how the tour went, answering remaining questions, sharing an application link, and continuing timely outreach if they have not responded. In multifamily operations, it depends on accurate tour status updates so each prospect receives the right next message.

Example

After a prospect tours on Tuesday, the leasing team marks the tour as Shown, records the units viewed and feedback, and sends a same-day thank-you message with an application link. If the prospect does not respond, the team follows up again at set intervals, such as 48 hours, six days, and twelve days after the tour.

Why it matters

Post-tour engagement helps operations teams turn completed tours into applications while keeping communication consistent and relevant. Accurate tour outcomes also prevent inappropriate messages, support cleaner reporting, and help leaders understand tour performance and team attribution.
