Preauthorized Payments

What preauthorized payments mean for rent collection, resident convenience, and operational consistency in multifamily communities.

Definition

Preauthorized payments are recurring payments a resident authorizes in advance, usually so rent or other lease charges are paid automatically on a set schedule. In multifamily operations, they are commonly used for rent AutoPay and may be set to pay the total monthly balance or a specific fixed amount each month. Because balances can change due to monthly charges, deposits, or fees, teams need clear setup, confirmation, and exception-handling processes.

Example

A resident enrolls in AutoPay by authorizing an ACH bank transfer for the total monthly balance. On the first of the month, the system attempts to collect rent plus recurring charges such as parking; if the payment fails, the site team follows its collections process, updates the resident ledger, and resolves the issue before treating the account as current.

Why it matters

Preauthorized payments reduce the need for residents to submit rent in person and support a more self-service payment experience. For operations leaders, they can help standardize payment setup, improve ledger visibility, and support consistent delinquency follow-up when transactions fail or balances remain unpaid.
