Proactive Maintenance

Proactive maintenance means scheduled inspections and service work that prevent failures, reduce emergencies, and protect property performance.

Definition

Proactive maintenance is planned maintenance work done before equipment fails or property conditions deteriorate. In multifamily operations, it usually includes scheduled inspections, recurring service tasks, and early repairs for building systems, units, and common areas. It differs from reactive maintenance because teams use calendars, asset records, and inspection findings to prevent avoidable emergencies.

Example

A regional maintenance leader schedules quarterly HVAC filter changes, annual roof inspections, and monthly common-area walkthroughs for each community. When a technician finds a small leak during a walkthrough, the team creates a work order and repairs it before it becomes an emergency call or resident complaint.

Why it matters

Proactive maintenance helps operations leaders reduce emergency repairs, protect asset life, and plan staffing and vendor work more predictably. It also supports resident satisfaction because fewer problems reach the point of disruption, and recurring inspections create better visibility into property conditions across communities.
