Renewal execution

Renewal execution is the process of moving residents from renewal offer to signed lease through follow-up, handoffs, documents, and system updates.

Definition

Renewal execution is the operating process that moves an eligible resident from renewal offer to a completed next-term lease. It includes sending the approved offer, tracking responses, following up, handling negotiation exceptions, preparing documents, collecting signatures, updating systems, and confirming the renewal. A strong renewal execution process is repeatable, easy to audit, and clear about when work is automated versus handled by staff.

Example

A community has 40 leases expiring in 90 days. The team approves renewal terms in the property management system, sends residents their offers, follows up with non-responders, routes pricing questions to a manager, then prepares and sends renewal documents for signature. Once a resident signs, staff update the lease status, store the signed file, and send a confirmation for the new term.

Why it matters

Renewal execution matters because renewals directly affect occupancy, realized rent, vacancy loss, and workload. Keeping a resident is typically less costly than turning a unit and finding a new renter, so consistent renewal follow-up can protect NOI while reducing last-minute operational pressure. Clear execution also improves forecasting because leaders can see which residents are likely to renew, negotiate, or move out.
