Shared services is an operating model where common work is handled by a centralized team instead of being repeated at each individual property. In multifamily, this can include leasing support, collections, renewals, accounts payable, maintenance coordination, HR, finance, or IT tasks that serve multiple communities. The goal is to reduce duplication, improve consistency, and let on-site teams focus on work that benefits from being physically at the property.

A regional operations team creates a shared services group to handle renewals and rent collections for eight nearby apartment communities. On-site associates still manage tours, resident conversations, and property walks, while the centralized team tracks renewal deadlines, sends notices, follows up on balances, and updates records across the portfolio.

Shared services matters because staffing, workload balance, and service consistency are major operating challenges in multifamily. When designed well, centralized support can help teams use specialized roles across multiple properties, reduce redundant administrative work, and create more predictable processes for residents, owners, and operators.
