Unqualified reason

An unqualified reason explains why a prospect or applicant does not meet stated rental criteria during leasing or screening.

Definition

An unqualified reason is the documented explanation for why a prospect or applicant does not meet a property’s stated qualification standards. It can apply during prequalification, tour scheduling, or application review, and should tie back to clear criteria such as income, move-in timing, rental history, or willingness to complete required steps. The reason should be specific enough for teams to act on and consistent enough to support fair, repeatable decisions.

Example

A prospect tries to schedule a tour for an apartment, but their stated move-in date is 90 days out while the property’s written standard is a move-in within 30 days. The leasing team records the unqualified reason as: “Move-in timeline does not meet property criteria.”

Why it matters

For multifamily operations leaders, unqualified reasons help teams understand where prospects fall out of the leasing funnel and whether qualification standards are being applied consistently. Clear documentation can reduce confusion, improve follow-up, and create a more defensible record when a prospect or applicant is declined.
