Vendor credentialing

Vendor credentialing is the process of collecting, verifying, and maintaining the documents that show a vendor is qualified and approved to work at a property. In multifamily operations, this commonly includes Certificates of Insurance (COIs), licenses, certifications, W-9s, contact information, and access permissions. It is an ongoing process because credentials can expire or change during the vendor relationship.

Before assigning an HVAC contractor to an occupied-unit repair, a regional maintenance supervisor confirms that the vendor has a current COI, the required trade license, verified contact information, and approved property access hours.

Vendor credentialing helps operations leaders reduce the risk of uninsured, unlicensed, or unauthorized work across a portfolio. It also gives site teams a clearer view of which vendors are ready to dispatch, which credentials are expiring, and what documentation is needed before work begins.
