Vendor management is the process of finding, approving, coordinating, tracking, and evaluating third-party service providers who support property operations. In multifamily, this often includes contractors for maintenance, repairs, cleaning, landscaping, pest control, and emergency work. It also covers practical controls such as vendor contacts, permissions, documentation, communication, and performance follow-up.

A maintenance coordinator receives an after-hours plumbing work order, assigns it to an approved plumber, confirms the vendor has the right contact information and documentation on file, tracks when the job is accepted and completed, and reviews the outcome for response time, cost, and resident impact.

Vendor management affects maintenance response times, repair quality, operating costs, compliance, and resident satisfaction. A clear process helps teams avoid scrambling for contractors during urgent issues, maintain accountability across properties, and give operations leaders better visibility into service performance.
