Work order avoidance

Work order avoidance resolves simple maintenance issues without dispatch while preserving service for problems that need staff attention.

Definition

Work order avoidance is the practice of resolving certain resident maintenance issues before they become formal work orders that require technician dispatch. It usually relies on clear intake questions, troubleshooting guidance, self-help instructions, better communication, or preventive maintenance. The goal is to avoid unnecessary trips while still creating a work order when staff attention is needed.

Example

A resident reports that a bathroom outlet stopped working. During intake, the resident receives step-by-step instructions to check and reset the GFCI outlet; if that solves the issue, no technician is dispatched, but if it does not, a work order is created.

Why it matters

Work order avoidance helps operations leaders reduce avoidable service volume, trip charges, backlog, and technician strain. It can improve response time for issues that truly need maintenance attention, but it should not be used to hide real property problems or discourage necessary reporting.
