Agent-level calendar

An agent-level calendar is a scheduling setup where tours are booked with specific leasing agents instead of only against a property or building calendar. It uses each agent’s shifts, assigned communities, availability, and scheduling priority to decide who can take an appointment. This helps teams manage coverage across one or more communities while reducing double-booking.

A regional leasing manager assigns one leasing agent to Community A on Mondays and Tuesdays from 8:00 a.m. to 4:00 p.m., and another community Wednesday through Friday. When a prospect requests an in-person tour, the scheduling system offers times only when an assigned agent is available for that community.

Agent-level calendars give operations leaders more precise control over who is available to handle tours, especially in centralized or shared-staffing models. They help align appointment availability with real staffing coverage, support prioritization of primary agents over backups, and make it easier to manage concurrent or group tour rules when needed.
