An applicant portal lets renters apply online and helps multifamily teams manage documents, fees, status, screening, and follow-up.

Definition

An applicant portal is a secure online place where a prospective renter can complete and submit a rental application at their own pace. It typically collects applicant details, documents, fees, and information such as vehicles, pets, guarantors, income, identification, employment, and references. In more automated workflows, it can connect application intake with verification, screening, status tracking, follow-ups, and lease generation.

Example

A prospect selects an available apartment, enters employment and landlord-reference details, uploads proof of income and identification, pays the application fee, and later returns to the applicant portal to check whether the leasing team needs more information.

Why it matters

Applicant portals help operations teams reduce manual application work, improve visibility into application status, and support centralized leasing workflows.
