Applicant Screening

Applicant screening reviews rental applications using documented criteria for credit, background, rental history, income, and identity checks.

Definition

Applicant screening is the process of reviewing a complete rental application against documented approval criteria. In multifamily operations, it commonly includes credit, criminal, eviction, rental history, identity, and income checks, followed by an approval, conditional approval, or denial decision. The process should also capture reason codes and trigger required notices when applicable.

Example

A leasing team receives a completed application for an apartment home, orders the required screening reports, verifies income, checks rental history, and applies the property’s criteria matrix. The file is approved with a higher deposit condition, the condition code is recorded, and the applicant is sent next steps for deposit payment and lease signing.

Why it matters

Applicant screening helps operations leaders make consistent leasing decisions while managing fraud risk, bad debt exposure, staff workload, and compliance obligations. A clear screening workflow also reduces delays between application submission and move-in, which can improve occupancy and team productivity.
