Callback

A callback is a reopened or follow-up maintenance request for an issue not fully resolved on the first service call.

Definition

A callback is a follow-up maintenance event tied to the same resident issue after the original service call was not fully resolved. It may appear as a reopened work order, a technician return visit, or a resident request for additional work on the same problem. Operations teams often track callbacks as a sign of first-time fix performance.

Example

A resident submits a work order for a leaking kitchen sink. Maintenance marks it complete, but the resident reports water under the cabinet the next day, so the work order is reopened and a technician returns to finish the repair.

Why it matters

Callbacks help operations leaders see where maintenance work is being repeated, which can affect resident satisfaction, team capacity, and cost control. A high callback rate may point to training needs, parts availability issues, unclear work order notes, or inconsistent quality checks.
