Centralized workflows

Centralized workflows standardize portfolio-level processes for leasing, maintenance, communications, accounting, and compliance.

Definition

Centralized workflows are repeatable operating processes that are managed through a shared team, system, or portfolio-level hub instead of separately at each property. In multifamily operations, they can cover functions such as leasing intake, maintenance coordination, resident communications, accounting, compliance, and paperwork. The goal is to reduce duplicated work, standardize how tasks are handled, and improve visibility across multiple communities.

Example

A resident submits a maintenance request at any property in the portfolio. A centralized workflow collects the same required details, triages the request by urgency and category, routes it to the right technician or vendor, and sends the resident a follow-up message when the work is completed.

Why it matters

Centralized workflows help operations leaders scale consistent service across a portfolio without every property recreating the same process. They can reduce variability, make staffing and resource allocation easier, and give leaders clearer insight into bottlenecks, service levels, and operating costs.
