Collections

Collections is the process of pursuing past-due rent and fees from current or former residents to reduce bad debt and protect performance.

Definition

Collections is the process of pursuing and obtaining payment of past-due rent, fees, or other charges owed by residents. In multifamily operations, it can apply to current residents with delinquent balances as well as former residents who still owe money after move-out. Effective collections typically relies on clear procedures, consistent follow-up, and accurate records.

Example

A resident moves out owing final utility charges and unpaid rent. The operations team follows its move-out collections workflow by confirming the balance, sending scheduled payment reminders, documenting each contact attempt, and escalating according to company policy if the balance remains unpaid.

Why it matters

Collections matters because unpaid balances can become bad debt and reduce property financial performance. For operations leaders, a consistent collections process helps teams enforce payment policies fairly, recover more owed funds, and reduce the burden on on-site staff.
