Compliance workflow

A compliance workflow standardizes required operational steps, documentation, reviews, and follow-ups across multifamily properties.

Definition

A compliance workflow is a repeatable set of steps that builds legal, safety, habitability, or policy requirements into day-to-day property operations. In multifamily maintenance, it can prompt required questions, forms, inspections, reviews, follow-ups, and documentation as work moves from intake to close-out. The goal is to make the required process consistent and auditable, rather than dependent on memory or one-off coordination.

Example

When a technician closes a pest-control work order, a compliance workflow can require treatment questions before completion. If the treatment was not completed, the workflow can create a follow-up work order and send a resident follow-up message.

Why it matters

Compliance workflows help operations leaders standardize required steps across teams, properties, and jurisdictions. They also support audit readiness by preserving documentation of what was checked, who handled it, and what follow-up occurred. This is especially important for larger portfolios where regulations can vary by state or locality.
