General Ledger

A general ledger is the main financial record for multifamily income, expenses, payments, and reporting across properties or entities.

Definition

A general ledger is the main financial record for a property, portfolio, or company. It organizes money coming in and going out—such as rent, vendor payments, taxes, insurance, and capital improvements—so teams can prepare reports and understand performance by property or entity.

Example

For a new move-in, the onsite or centralized team confirms that first month’s rent, any prorated rent, deposits, and required fees are posted and correctly coded in the property management system. Those entries become part of the financial records used to reconcile resident balances and report income for the property.

Why it matters

A reliable general ledger helps operations leaders see whether income, expenses, and resident balances are recorded accurately across the portfolio. It supports cleaner reporting, faster issue resolution, and better decisions about property performance, cash flow, and compliance.
