Incident management

Incident management helps multifamily teams document, track, escalate, and resolve property incidents with clear roles and records.

Definition

Incident management is the set of systems and processes a multifamily organization uses to document, track, escalate, investigate, and resolve property incidents. Incidents can include accidents, resident complaints, emergencies, property damage, security events, or other events that require coordinated follow-up. A strong process defines who is responsible, what information must be captured, when to escalate, and how resolution is documented.

Example

A resident reports a major water leak after hours. The incident is logged with the time, location, resident details, photos, and witness information; the maintenance supervisor is notified immediately; mitigation steps are assigned; and follow-up notes are recorded until the leak is resolved and any damage is documented.

Why it matters

Incident management helps operations leaders respond quickly, reduce confusion, preserve important documentation, and coordinate across maintenance, property management, legal, risk, and communications teams. Consistent records also support claims handling, resident communication, trend analysis, and prevention of repeat incidents.
